On-site Confidential Destruction

On-site confidential data destruction is perhaps the most suitable method for ensuring privacy. Packaging and transporting confidential data in any format outside the premises of your company or organization significantly increases the risk of privacy breaches.

On-site confidential document destruction ensures that sensitive documents and files remain secure until the moment of their destruction, preventing any information leakage.

With on-site confidential destruction, the media containing confidential data do not need to be moved, packaged, or stored outside your company’s premises. Instead, they are destroyed immediately on-site in the presence of an authorized representative from your side.

Based on GreenFence’s expertise in this field, on-site confidential document destruction is recommended for special categories of confidentiality, such as government and military documents, special patents and other research, embassy documents, and generally any information of fundamental importance to the company or organization. These documents require destruction at least at the P-5 level (according to DIN 66399).


The final decision for each company/organization should be made separately, always in collaboration with its Data Protection Officer (DPO) and according to the "Data Protection Impact Assessment (DPIA)" as defined by Article 35 of the General Data Protection Regulation (GDPR).

The Process

First Step

Equipment Installation and Operation

Appropriate trucks, equipped with hydraulic doors, deliver and install the specialized equipment at your facilities following a detailed study. The equipment will remain on-site until the completion of the project. The operation of the machinery is always handled by specialized GreenFence employees to ensure the smooth functioning of the equipment (shredder and/or degausser) and the maintenance of confidentiality.

Second Step

Monitoring & Confidential Destruction Protocol

The on-site confidential destruction process for documents and records is usually conducted in the presence of an authorized employee, the data processing manager, who oversees the entire procedure. Upon completion of the project, GreenFence drafts and delivers the "Confidential Destruction Protocol" to the client. This protocol, based on the model of Directive 1/2005 of the Hellenic Data Protection Authority (HDPA), serves as the proof certifying the procedure.

Third Step

Material for Recycling or Disposal

GreenFence, offering comprehensive solutions, provides the option for the collection and management of materials generated after the destruction process. Most materials, such as paper, hard drives, and CDs/DVDs, are collected in special packaging and sent for recycling. GreenFence provides a recycling certificate for these materials. However, materials like floppy disks, magnetic tapes, and credit cards, which cannot be recycled, are sent for disposal.

For this specific task, GreenFence holds all the necessary licenses (Collection & Transportation, Environmental Permit [AEPO], and Operating License). As it is registered in the Electronic Waste Registry (HMA), GreenFence provides you with all the details at the end of the year, such as quantities, EWC codes, and R&D activities, to accurately complete the Annual Waste Production Report.


Data Degaussing

Our company can bring the specialized degaussing machine to your location, where, in the presence of the data processing manager, all data stored on magnetic storage media is erased, ensuring on-site confidential data destruction without the need to transport them off-site.

After the degaussing process, the media no longer contain data and cannot be reused, a fact that you can verify if desired. Degaussing is performed on two types of materials:

  1. Hard Drives
  2. Magnetic Storage Media such as:
    • DLT, S-DLT, LTO1,2,3,4 & 5
    • 3480/3490/3490e, 3590, 9840 & T9940 & T10000 tape
    • Ultrium & Redwood SD-3 tape & cartridges
    • Mammoth 1 & 2, 8mm, AIT1 & 2, M2 tape
    • DDS 1, 2, 3, 4 & 5, DD-2 & DFT-1 & 2

Shredding of Printed Files and Documents

By appointment, GreenFence employees come to your location with the shredder (dimensions L:1.80m x W:1.20m x H:1.60m) and shred the documents in your presence. A necessary requirement is the availability of three-phase power.

Our company transports the document shredder to your premises to shred all printed archival material. The initial level of destruction is P2, or if two passes are made, it reaches P3.

There is also the possibility of achieving an even higher level of document destruction at our company’s facilities.
