Engagement with social media is an integral part of the modern era.
A significant portion of the population engages with social media platforms for information, communication, and interaction. The Management of GreenFence recognizes the need for its personnel to participate in social media, respecting the developments and demands of the times regarding the use of networks as a means of exchanging information and opinions.
Additionally, GreenFence understands that social media now serves as an effective tool and facilitator of corporate and business relationships while also acknowledging the risks of improper use and its consequences for the company’s reputation and value, as well as for its employees.
The use of social media by the company’s employees must align with the legislative framework that applies both nationally and at the European level. Therefore, GreenFence provides appropriate training and information to its personnel regarding the importance of protecting personal data and processing it to fully comply with the General Data Protection Regulation (GDPR) 2016/679, Law 4624/29-08-2019 (Government Gazette A’ 137) for the Personal Data Protection Authority, EU Regulation 2019/679 for the protection of natural persons against the processing of personal data, Article 9A of the Constitution for the Protection of Personal Data, and Article 371 of the Penal Code for the Violation of Professional Confidentiality.
At the same time, GreenFence recognizes and respects the rights of its employees concerning freedom of expression and the development of their personality in accordance with Article 5 of the Constitution for the Free Development of Personality and Personal Freedom, as well as Article 5A of the Constitution for the Right to Information.
Social Media - Definition
Social media include internet and mobile technologies that transform communication into an interactive dialogue. Social media platforms take many different forms, including, but not limited to, blogs and microblogs (e.g., Twitter, Tumblr), content communities (e.g., YouTube), social and professional networking sites (e.g., Facebook, LinkedIn), virtual game environments, and social gaming environments (e.g., World of Warcraft, Second Life). The application of social media is rapidly increasing and evolving. This policy also covers future applications of social media, in whatever form they may take.
GreenFence, as a Confidential Destruction of Archival Material company, deems it necessary to adopt a specific policy regarding the use and participation in social media, as well as maintaining specific standards for the content and manner of its communications. Specifically, it is required to:
- Confidentiality of Client Information: Maintain specific client information as confidential and ensure that such information is not disclosed through social media.
- Respect for Diversity: Show the required respect for the diversity of individuals and colleagues in all social media interactions.
- Individual Responsibility: It is clear that each individual is solely responsible for what they post online.
This policy is intended to ensure that all employees understand their responsibilities when using social media and to protect the company’s reputation and confidentiality standards.
Social Media Participation Policy for Employees
- Protection of GreenFence and its Reputation: Safeguarding the information received to protect GreenFence and its reputation.
- Responsible Communication: Engaging in responsible communication on social media in accordance with the applicable legal framework.
- Confidential Information: Safeguarding confidential information related to GreenFence. Information Security is a priority and obligation for GreenFence employees to protect confidential or internal information concerning clients, company strategy, colleagues, suppliers, and documents circulated within the business intranet, such as Management Acts, Announcements, etc.
- Avoiding Public Posts about GreenFence: Posts or comments regarding GreenFence should be avoided. Only authorized employees can publicly represent GreenFence. Therefore, any publicly posted position must make it clear that it represents personal views and is not related to the company.
- Consistency with GreenFence Principles: The tone and content of communications should align with GreenFence’s principles. Responsible management of post content is required, knowing it remains visible to a wide audience for a long time. Respect for the audience, intellectual property rights, third-party privacy, and avoiding named references without prior approval (especially for clients and partners) are essential. Vulgarity, bullying, defamation, and insults to individuals or social groups are to be avoided.
- Compliance with Obligations and Terms of Employment: Adhering to confidentiality, discretion, representation, and the Code of Conduct and Ethics rules, even when using social networks in personal time.
- Avoiding Harmful Publications: Any publication that could potentially harm GreenFence must be avoided. Employees should act responsibly to ensure the company benefits exclusively from its digital presence.
- Use of Social Media during Work Hours: The use of social media during work hours is permitted only if it serves official needs. Personal use of social media should occur outside working hours to avoid impacting daily work activities and employee performance.
- Avoiding Disclosure of Information: It is important not to disclose information or post comments about GreenFence on social media, in postings, photos, press communications, public speeches, etc.
- Company Email for Social Media Registrations: It is recommended not to use company email addresses for registering on social media platforms.
By adhering to this policy, employees can help protect GreenFence’s reputation, maintain confidentiality, and ensure a professional and respectful presence on social media platforms.
